Where is your team based?

Delivery is by our hand-picked professional team in Lisbon, Portugal — university-educated, fluent in business English, and working Bermuda business hours so you get real-time coverage, not an overnight hand-off. The company is Bermuda-owned and operated, and your relationship manager visits the island to see clients in person.

How do you compare with hiring in-house?

An in-house seat typically runs $85,000 or more fully loaded, can only specialize in so much, needs cover for holidays and sick days, and still needs managing. We deliver a managed team across reception, invoicing, CRM and follow-up for less than that single seat — with written service levels, built-in cover, and no HR burden. And plenty of our clients keep valued in-house staff: we simply take the always-on coverage and the chasing off everyone's plate.

Security & confidentiality

How is my data protected?

We work inside your own systems with controlled, least-privilege access — we keep no separate copies of your data. Every team member is background-checked and bound by confidentiality agreements, access is revoked the moment it isn't needed, and we operate in line with Bermuda's Personal Information Protection Act (PIPA) and the EU GDPR. We also carry professional indemnity and cyber insurance.

Who actually does the work?

Specialists, by design. Invoicing and AR are owned by people who do invoicing all day; inbound and lead response by people who do exactly that; administration by administration specialists — all inside your systems, following procedures documented for your business. Your named relationship manager is your single point of contact: they own the relationship, guarantee the work, and make sure the standard holds.

Why specialists instead of one dedicated assistant?

Because the back office isn't one job — it's six. A single assistant, however capable, is being asked to be a receptionist, a collections function, an inbox manager, a scheduler, a CRM administrator and a sales follow-up engine all at once. We split those disciplines across people who specialize in them, then wrap it all in one relationship manager — specialist depth, single point of contact.

What happens if you miss a service level?

Every engagement runs on written service levels — response times, invoicing turnaround, follow-up cadence — tracked on every account and reported to you. If we materially miss a committed service level, we make it right, in writing. We'd rather be held to a standard than ask you to take our word for it.

Plans & commercials

What are the contract terms?

Engagements are a 12-month partnership, with a discount available for annual pre-payment. Pricing is tailored to your business and provided with your proposal — we don't publish rates because no two back offices are the same size or shape.

Why is there an onboarding investment?

Because the first 30 days are where the quality is built: mapping your workflows, standing up email, phones, security and CRM, and documenting your standards. The one-time onboarding investment covers that setup in full and exists to guarantee the highest-quality start — it's also why our clients stay.

How quickly can we be live?

Within 30 days of signing, typically: discovery in week one, systems build in weeks two and three, then a supervised go-live. You'll have agreed service levels and a named relationship manager from day one.

What kinds of businesses do you work with?

Bermuda service businesses whose owners feel back-office pain in their revenue — trades and contractors, energy and technology firms, property services, healthcare practices and professional services. If invoices, inbound and follow-up matter to your business, we're likely a fit.

Can a plan be customised?

Within reason, yes. Plans keep our delivery consistent, but scope can flex where your business genuinely needs it — your proposal will reflect that. What we won't do is stretch a plan so thin the standard breaks.

What happens in the first consultation?

Thirty confidential minutes on where your admin, invoicing and inbound stand today. We'll tell you honestly whether we're the right fit — and if we're not, we'll say so and point you somewhere better.

Do you do bookkeeping, payroll or tax?

Not today. Bookkeeping and payroll support are on our roadmap for existing clients, and we don't provide accounting, tax or legal advice. When a task needs a licensed professional, we'll tell you and hand it over cleanly.
